Booking Terms & Conditions

These terms apply to all accommodation bookings at The Olde Malthouse Inn.

Payment terms

  • A valid credit card is required to guarantee all reservations. Upon confirmation of the booking, a deposit equal to the first night’s accommodation charge will be debited from the designated card. Any remaining balance, along with supplementary room charges and incidental expenditures incurred during the stay, shall be settled on the morning of departure.
  • Cancellations received up to 7 days prior to the scheduled date of arrival will incur no penalty, and the deposit will be refunded in full. Cancellations rendered within the 7-day period, as well as failure to arrive (no-shows), will result in the forfeiture of the deposit and the guest remaining liable for the total cost of the reserved stay. Corresponding charges will be applied to the card provided.

Check-in & check-out

  • Check-in: Standard check-in is between 3:00pm and 10:00pm. Early check-in or arrivals after 10:00pm may be arranged with prior notice and are subject to a small additional fee.
  • Check-out: Our standard check-out is 10:00am on the day of departure. Late check-out may be possible by prior arrangement for a small fee. Where a seasonal offer or package states a later check-out, that later time applies to those bookings instead, subject to availability on the day.

Dog policy

We are a dog-friendly property and welcome well-behaved four-legged guests in the majority of our public areas and in designated bedrooms. There is a small charge of £15 per dog per night. Dog-friendly rooms must be booked in advance, and there is a maximum of 2 dogs per room. We kindly ask that dogs are not left unattended in rooms and are kept off the beds and furniture, and kept on leads in the public areas.

Cancellation, rebooking & no-shows

  • Cancellation window: We offer free cancellation up to 7 days prior to your arrival date.
  • Late cancellations & no-shows: Cancellations made within 7 days of arrival will result in the guest remaining liable for the full amount of the booking. In the event of a no-show, the full cost of the booking will be charged, and the reservation will be released at 10:00am the following morning.
  • Amending a booking: Wherever possible, we are happy to help you rearrange your booking to a later date rather than cancel, subject to availability and any seasonal rate differences.

Damages, smoking & property care

  • Smoking & vaping policy: The Inn is strictly non-smoking and non-vaping throughout all indoor areas, including all guest bedrooms, bathrooms and corridors. If evidence of smoking or vaping is found in a room during or after your stay, a specialised deep-cleaning and deodorising fee of £150 will be charged automatically to the card on file. Additionally, the guest will be liable for the cost of any room nights lost if the bedroom cannot be re-let due to lingering smoke odour.
  • Damages and soilage: We understand that accidental mishaps happen, but we reserve the right to charge the guest’s card on file for the repair or replacement cost of any damage caused to the room, fixtures, fittings, linens or property during your stay. This includes instances of severe or malicious staining or soilage that requires specialist cleaning or replacement of carpets, mattresses or soft furnishings.
  • Key loss: For security and property management purposes, all room keys must be returned to the bar upon check-out. Lost or unreturned room keys will incur a £30 replacement charge to cover the cost of cutting new keys.
  • Authorisation: By confirming your booking, you authorise The Olde Malthouse Inn to charge the credit or debit card provided at the time of booking (or during check-in) for any of the above fees or costs incurred during your stay. Where charges are applied, an itemised breakdown and receipt will be sent to the email address on file.

If anything here is unclear, please ring us on 01840 770461 before you book and we will talk it through.
